INSTRUCTIONS ON HOW TO USE THE ON-LINE SUBMISSION OF REPORTS AND FOLLOW UP:

 

On-line submission of the following, and the follow up of late reports :

1.  PHOTO

2.  LETTER

3.  MONTHLY REPORTS

4.  QUARTERLY REPORTS

 

A.

For Students

1.

Scroll down and choose FOR STUDENT under the YEP On-line Processing.

 

2.

Click on Reports.

 

3.

Choose your year of exchange.

 

4.

Scroll down on the USER ID and click your nickname.

 

5.

Enter your password. In case you have forgotten your password, ask the contact person of your district for help.

 

6.

Choose which item to submit now:

a.  Photo

b.  Letter

c.  Monthly report or

d.  Quarterly report.

 

6.1

To submit photos:

 

6.1.1

First, scan all photos to be submitted.

   * Suggestions for scanning photos:

    Use resolution of 90 dpi., and scale of 1:1.

Save scanned images to a temporary file, using .jpg or .gif.

 

6.1.2

Scroll down REPORTS, choose PHOTO, scroll down and choose the month and year

 

6.1.3

Upload Photos one by one, by recalling the photo from the temporary file. Click   UPLOAD  button located below the page when done to save. Use  ROTEX password to complete Upload. The MESSAGE board will show the list of files uploaded successfully.

 

To modify uploaded pages – Uploaded pages can be modified by re-uploading.

Remember to click  UPLOAD  to save.

 

6.2

To submit Letters:

 

6.2.1

After writing the letter, save as .txt file.

 

6.2.2

Scroll down REPORTS, choose LETTER, scroll down and choose the month and year

 

6.2.3

Upload Letter one by one, by recalling the letter from the temporary file. Click   UPLOAD  button located below the page when done to save. Use  ROTEX password to complete Upload. The MESSAGE board will show the list of files uploaded successfully.

 

To modify uploaded pages – Uploaded pages can be modified by re-uploading.

Remember to click  UPLOAD  to save.

 

6.3

To submit either MONTHLY REPORT or QUARTERLY REPORT:

 

6.3.1

Download the form first:

a.  Go to “Download Form: monthly report/ Quarterly report”

b.  Download either of the forms by clicking on it with the right key of your mouse.

c.  Select [save to another location.], the file is an html file.

 i.e. If the year is 2001-02, and Monthly report is downloaded, the html filename is

    “2001Monthly.html” and if the year is 2002-03, and Quarterly report is downloaded, the 

    filename is “2002Quarterly.html”.

 

6.3.2

Open the file saved.

 

 

A. For Monthly Report:

a.  Choose month of report on left upper corner.

b.  Complete the report as detailed as possible.

c.  Save. The system will save automatically to “C” drive, UPLOAD folder, under the M(month)(year).txt filename, i.e. MAPR2001.txt. for April 2001 monthly report.

Use only alphabets/numerical for filename.

 

 

B. For Quarterly Report:

a.  Choose quarter of report on left upper corner.

b.  Choose your Rotary District.

c.  Complete the report as detailed as possible.
